  • Set the tournament format before opening registration. Decide how many teams can enter, how long each match lasts and how much changeover time you need; a short buffer between matches prevents the schedule from collapsing after one delay.
  • Publish the schedule only after registrations and team divisions are stable. Send the final version at least 3–5 days before the tournament, including arrival time, court assignments and who teams should contact on the day.
  • Confirm referees, volunteers and the first-aid contact separately. Ask each person to confirm their shift at least 7 days in advance, then keep a backup contact for gaps caused by illness or late cancellations.
  • Check equipment in the sports hall before tournament day, not during setup. Count the volleyball nets, poles, antennas, scoreboards, clocks, whistles and balls, and inflate match balls the day before so damaged equipment can still be replaced.
  • Plan registration and catering around the busiest arrival period. Set up the registration table before teams arrive, collect dietary requirements in advance and place reusable cups, plates and cutlery where volunteers can restock them quickly.
