What you need for an urban run

An urban run needs more than race numbers and a finish line. You will need supplies for marking the route, controlling crossings, handing out water and running the start and finish area. Plan quantities from your expected runner count, then add a small reserve for damaged signs, extra cups and late registrations. Order medals, bib numbers and printed materials early, because replacements are difficult to arrange once setup has started.

Tips

  • Order bib numbers, safety pins and finisher medals as soon as registration closes, then sort bibs in numerical order so volunteers can find them quickly. Keep at least 5% extra pins and bibs if your supplier allows it.
  • For water, prepare at least 500 ml per runner for a short urban run, plus extra for volunteers and warm weather. Use crates and coolers at the start, finish and each planned refreshment point.
  • Count route markers by junction rather than by distance: provide one arrow for every decision point and keep 10% spare. Kilometer markers, cones, crowd barriers and barrier tape should be packed by route section.
  • Set aside one labeled kit for registration and timing: clipboards, pens, stopwatches, timing clocks and any stamp sets. Pack spare batteries and test every clock and speaker before the briefing.
  • Prepare the finish area separately with tents, tables, chairs, cups, waste bins, medals and a microphone or portable speaker. Keep medals and water behind the finish line so they can be handed out without blocking incoming runners.
