- Confirm the swim venue and water conditions before opening registration. Course distances, entry points and safety arrangements can affect how many places you can offer.
- Set a clear registration deadline, then use the final participant count to prepare bib numbers, swim caps, medals, drinks and volunteer positions. Avoid ordering or sorting everything before registrations are processed.
- Plan route inspection twice: once after the bike and run courses are fixed, and again shortly before race day. Check signs, cones, kilometre markers, barriers and any points where athletes could take a wrong turn.
- Give volunteers a written briefing at least 2β3 days before the race. Include station locations, shift times, emergency contacts, whistles, high-visibility vests and what to do if an athlete needs help.
- Keep race-day supplies separated by area: swim, transition, bike route, run route, finish and registration. Chill drinks before the event and place spare tubes, tyre levers, pumps and basic tools where bike problems are most likely.

- How many volunteers do I need for a triathlon?
- Plan volunteer shifts by course section rather than using one total number. As a starting point, assign at least 2 people to each water station and each major junction, then add separate teams for swim safety, registration, transition, timing and the finish.
- How much water and sports drink should I prepare?
- Estimate at least 500β750 ml per participant for the course, then add a 10β20% reserve for warm weather, volunteers and spills. Final quantities should be based on the confirmed field size and the number and length of water stations.
