  • Close registrations before confirming meals and accommodation, so your final numbers include late changes and dietary requirements. Keep emergency contacts with the attendance list rather than in a separate bag.
  • Print the training schedule before departure and prepare team allocations in advance. Bring a spare copy for the venue and one for the person receiving participants.
  • Check every piece of sports equipment against the session plan, including balls, bibs, cones, ladders, resistance bands, mats, stopwatches and whistles. Inflate balls and pack the pump before loading the vehicle.
  • Pack food and drinks so refrigerated groceries go straight into coolers with ice packs. Store remaining groceries chilled as soon as you arrive, and keep reusable cups, plates, cutlery and thermos flasks together.
