What to Bring for a Trail Walk

A trail walk needs more than snacks and water. You’ll need route markers, participant materials, drinks for the start and rest area, and safety equipment that still works in low light. Plan quantities from your final participant list, then add a small reserve for late arrivals or damaged supplies. This checklist covers the practical items for registration, refreshments, route marking and a safe finish.

Tips

  • Allow at least 500 ml of water per participant for a short walk, and more if the route takes several hours or the weather is warm. Keep extra water in jugs at the start or rest area.
  • Prepare one bib number, route map and name badge per registered participant, plus 5–10% extra. Keep the spare set at the registration desk with clipboards and pens.
  • Mark every turn before participants arrive. Bring enough route arrows and barrier tape to make hazards visible, and check the full route in advance rather than relying on the map alone.
  • Set aside at least one first aid kit and several emergency blankets for the group. Add flashlights, LED lanterns, whistles and reflective vests when any part of the route may be dark or poorly visible.
  • For drinks and snacks, prepare serving items as well as food: reusable cups, plates, cutlery, cutting boards, coolers, thermos flasks and a kettle. Chill drinks before setup and keep hot water separate from the registration area.

Frequently asked questions

How much water do I need for a trail walk?
Plan 500 ml per person for a short walk in mild weather. For routes lasting several hours or taking place in warm conditions, allow 1 litre per person and keep extra water available at the start or rest area.
How many route maps and bib numbers should I buy?
Prepare one route map and bib number for every registered participant, then add 5–10% spares. For 40 walkers, that means 42–44 sets so late changes do not leave anyone without materials.
What safety equipment is needed for a trail walk?
Bring at least one first aid kit, emergency blankets, whistles and reflective vests, plus flashlights or LED lanterns if visibility may be limited. Check this equipment no later than the day before the walk.
When should I shop for a trail walk?
Buy route and safety materials at least one week beforehand so you can check quantities and replace missing items. Buy or chill drinks and prepare fresh snacks one day before, then do a final count after registrations close.
