Trail run shopping list: what to buy and bring
A trail run needs more than bibs and a finish line. You need clearly marked paths, reliable timing, water at the right points and equipment that still works away from mains power. Use this shopping list alongside your route and volunteer plan. Quantities depend on your field size, but plan supplies by participant count, course length and the number of checkpoints rather than buying everything in one batch.

Tips
- Plan one route-marking set for every junction or turn: route arrows, signs, cones, barrier tape and marker pens. Walk the full course before race day and add extra signs for confusing sections.
- Prepare bibs, straps, pens and wristbands for every registered runner, plus at least 5% spare bib numbers. Keep them in labelled storage crates so check-in volunteers can find them quickly.
- Give each rest point its own cooler or thermos flask set and enough cups or bottles for the expected runner flow. Refill equipment at least 24 hours before the start, not during registration.
- Count power banks, extension cords and power strips before packing timing equipment, laptops and tablets. Charge phones, walkie-talkies and stopwatches the evening before, then pack one spare power bank per key communication point.
- Pack the finish area separately: medals, finish ribbons, prizes, tables and chairs. Keep awards dry and accessible, and reserve one table for timing results so runners do not crowd the registration desk.
Frequently asked questions
- What do I need for a trail run event?
- Plan equipment for five areas: course marking, runner check-in, timing, aid stations and the finish area. For each registered runner, prepare one bib number, strap or fastening method, and any planned medal or wristband, then add at least 5% spare bibs.
- How many trail signs do I need?
- Count every turn, junction, crossing and confusing section during a route check, then assign at least one arrow or sign to each point. Add 10% extra signs and arrows so damaged or missing markers can be replaced quickly.
- How much water should I buy for a trail run?
- Base the amount on the number of runners, weather forecast and rest points rather than using one fixed total. Confirm the final quantity 48 hours before the event, and arrange extra supplies if temperatures are high or the course is longer than expected.
- When should I prepare the trail run equipment?
- Check stock and buy missing items at least 7 days before the run. Charge electronics the evening before, pack course-marking supplies separately, and place water, timing equipment and finish materials where volunteers can access them before setup starts.
