What You Need for a Trade Fair Booth

A trade fair booth needs more than a table and a banner. You will need furniture for conversations, printed materials for visitors, working demo equipment and a clear registration point. Plan refreshments for the stand team and visitors, plus storage and waste collection so the booth stays usable throughout the day. Check power, charging and transport equipment before shopping; missing extension cords or adapters can stop a product demonstration before the doors open.

Tips

  • Pack at least one printed price list and product brochure per expected qualified visitor, then add a 10–15% reserve for walk-ins and replacements.
  • Bring one pen per registration position plus at least two spare pens. Keep visitor badges and name badge holders together at the registration desk instead of packing them in separate boxes.
  • Test every laptop, tablet, screen and product demonstration at least 24 hours before setup. Pack the required chargers, USB chargers, extension cords and power strips in the same tool case.
  • Count one reusable cup per expected drink service and prepare a separate supply for the stand team. Place waste bins near the coffee point and seating area so used cups do not collect on the tables.
  • Label back wall panels, banners, samples and demo equipment before loading. Reserve a clearly marked box for setup tools, measuring tapes and connection materials so it is available before the booth is assembled.

Frequently asked questions

How many flyers should I bring to a trade fair?
Start with one flyer per expected visitor who may need follow-up, then add a 10–15% buffer. For 200 target visitors, that means roughly 220–230 flyers, with extra copies of the most relevant product brochures and price lists.
How much printed material do I need for a trade fair booth?
Prepare one product brochure and one price list for each qualified visitor you expect, plus 10–15% spare copies. Keep a smaller reserve for staff, late registrations and visitors who return later in the day.
How many staff badges and visitor badges do I need?
Prepare one staff badge for every person scheduled at the booth, including shift changes, and at least one visitor badge for every expected registered visitor. Add 10% spare badges to cover errors, damaged holders and walk-in visitors.
When should I test trade fair demo equipment?
Run a complete test at least 24 hours before loading the transport. Test the laptop, tablets, screen, product demos, chargers and power strips together, then repeat the connection check when the booth space is ready.
