Town Square Party Checklist

A town square party needs more than tables, food and a programme. You need to coordinate permits, power, suppliers, volunteers, neighbours and safety before the day itself. Use this checklist to work through the planning in the right order, then use the final week to confirm attendance, food quantities, equipment and weather arrangements. It also helps prevent common delays, such as finding out too late that a cable is too short or that drinks have nowhere to stay cool.

Tips

  • Check the location and power points before booking equipment. Count the available sockets, measure cable routes and reserve extension leads, power strips and cable covers early enough to avoid unsafe last-minute fixes.
  • Set a volunteer deadline at least two weeks before the party. Assign clear shifts for setup, serving, programme support, cash handling, first aid and cleanup instead of relying on people to step in on the day.
  • Confirm final attendance five to seven days beforehand. Use that number to review food, drinks, reusable glasses, plates, cutlery, seating and ice rather than buying everything from the original estimate.
  • Publish the programme and arrival information before the final week. Include start and finish times, food arrangements and any practical directions so neighbours, guests and volunteers know what to expect.
  • Prepare an indoor or covered fallback for bad weather at least 48 hours before the event. Recheck tents, parasols, tables, lighting and sound equipment, and make sure the weather plan does not block access or emergency routes.

Frequently asked questions

How far in advance should I organise a town square party?
Start planning at least 8 to 12 weeks ahead. Check permits, the location, power and supplier availability first; send invitations once the date and programme are stable.
When should I check the weather for a town square party?
Check the forecast 7 days before the event, then again 48 hours and 24 hours beforehand. Use the final check to decide on tents, parasols, clothing advice and any programme changes.
How many drinks should I plan per guest?
For the first hour, allow about 2 to 3 drinks per person, then roughly 1 drink per person per hour. Add extra water and adjust the total for the season, programme length and number of children.
When should I confirm food quantities and dietary requirements?
Collect dietary requirements with the RSVPs and close the final count 5 to 7 days before the party. Review the shopping list, prepare-able dishes and serving equipment after that deadline.
