  • Confirm each speaker’s presentation format and technical requirements at least 7 days before the conference. Collect the actual files before the event so you can test them on the conference laptop.
  • Close or review registrations 3–5 days before the event and use the final participant list to print name badges, prepare seating, and give catering an accurate headcount.
  • Test the projector, screen, laptop, HDMI cables, adapters, microphones, mixer, speakers, and DI box together at least 2 hours before doors open. A cable that works on its own may still fail in the full setup.
  • Prepare the registration table with the participant list, printed programs, name badges, and clear signage before the first guest arrives. Keep spare badges and pens there for last-minute changes.
  • Confirm catering details 48 hours beforehand, including dietary requirements, serving times, plates, cups, glasses, cutlery, coolers, and waste bins. Catering delays are harder to fix once the opening session has started.
