  • Book the tent, chairs, tables and stage elements early, then confirm the delivery and setup window at least 7 days before the service. Check that the planned layout fits the actual ground conditions.
  • Set a registration deadline 5 to 7 days before the event so you can process names and dietary requirements before shopping. Print the program and songs only after speakers and musicians have confirmed.
  • Inspect the grounds before the tent arrives, including access for delivery vehicles, level seating areas and the route to the power supply. Arrange permits and grounds coordination no later than 2 weeks ahead if approvals are required.
