  • Set a registration deadline at least 7 days before teen night. Use the final list to confirm places, collect dietary requirements and prepare name or attendance information.
  • Assign volunteers to specific jobs rather than asking for general help. For a typical evening, cover registration, food service, game stations, equipment and cleanup with named people and a handover time.
  • Finish the programme and game schedule at least 3 days beforehand. Print the schedule and signs, and keep a digital copy available in case the printed version is lost.
  • Charge speakers and the microphone the day before, then pack extension cords and power strips with them. Test the equipment in the venue before guests arrive, especially if game stations use different parts of the room.
  • Prepare drinks and snacks before setup is finished, but make hot dogs close to serving time. Chill drinks several hours ahead and use separate serving utensils so food can move quickly without blocking registration.
