Tea picnic checklist: what to arrange and when

Tips

  • Open registration early enough to collect dietary requirements before creating the menu. Finalise the guest list at least 3 days before the picnic so diet labels, portions and tableware can be checked against real numbers.
  • Check the location’s facilities before the event, especially access, seating and washing-up arrangements. Confirm whether you need to bring foldable tables, chairs, picnic benches or all seating yourself.
  • Wash tableware and thermos flasks at least 1 day ahead, then test the tea and coffee station. This catches missing teaspoons, serving spoons, kettles or thermos lids before transport.
  • Prepare sandwiches, snacks and cut fruit as close to serving time as practical. Keep chilled items in coolers with ice packs and fill them shortly before loading, rather than leaving them packed overnight.
