Taste market checklist: what to arrange and when

A taste market needs more than food stalls and a date. You must coordinate vendors, permissions, layout, power, serving equipment, payments and visitor flow before setup day. Start with the venue, date and legal checks, then secure stallholders and collect the information they need. In the final week, confirm deliveries, print menus and price lists, test the payment terminal and prepare clear signs. This checklist gives you the planning order so small details do not hold up opening.

Tips

  • Confirm the venue layout before inviting vendors. Mark every market stall, table, information desk and power outlet, then allow enough space for queues and the traffic route.
  • Ask vendors for dietary and equipment requirements as soon as they register. Late requests for coffee machines, food warmers, storage bins or extra serving tables are difficult to solve on setup day.
  • Prepare printed menus and price lists at least 2–3 days before the market. Print a few spare copies, and keep one clear information point for questions, reservations and lost visitors.
  • Test the payment terminal and arrange cash before opening, not during vendor arrival. Run a complete test transaction and keep change in the cash desk so stalls are not delayed.
  • Check the weather forecast 48 hours before the market and tell vendors immediately if the plan changes. Party tents, tablecloths and signs should be secured before the first delivery arrives.

Frequently asked questions

How far in advance should I organise a taste market?
Start planning at least 8–12 weeks ahead. Use the first 2 weeks for the date, location, permits and insurance, then allow several weeks to select vendors and process registrations.
How many drinks should I plan per visitor at a taste market?
For the first hour, allow around 2–3 drinks per person when drinks are included in the tasting experience. Add more stock if the market lasts longer than 3 hours or has a separate bar.
When should I confirm taste market vendors?
Aim to confirm vendors 4–6 weeks before the event. Send the participant terms, table plan, arrival instructions and dietary information deadline immediately after confirmation.
When should I check the weather for an outdoor taste market?
Check the forecast 48 hours before opening and again on the morning itself. Use the first check to warn vendors and adjust tents, tables, signs and the visitor route.
