  • Confirm the venue, date and permits before opening registration. Ask the pool which lanes, changing rooms and water zones are available, then build the safety plan around that layout.
  • Set deadlines for entries, dietary requirements and starter groups. Close registrations early enough to prepare race numbers, waterproof scorecards and group assignments rather than doing them at check-in.
  • Schedule more than swimmers: assign lifeguards, first-aid cover, starters, lap counters and finish-time recorders. Put every role and shift on a written roster at least 7 days before the marathon.
  • Test the race equipment before race day. Check that lane lines, starting blocks, life rings, rescue lines, rescue tubes, stopwatches and lap counters are present and usable, with spare swim caps and goggles available.
