Tips

  • Plan drinks by hour: allow two to three drinks per person for the first hour, then about one drink per person for each additional hour. Chill them in coolers before participants arrive and keep extra water at the stations.
  • Prepare one registration set for every 25 to 30 participants, including name stickers, wristbands or numbers, pens and the final participant list. Put these on the reception table at least 30 minutes before opening.
  • Mark the route at every turn and crossing with route arrows and cones. Bring spare markers and place them in a support vehicle or with a route marshal in case signs are moved or damaged.
  • Pack serving supplies together instead of leaving them at the venue: reusable cups, plates, cutlery, serving spoons, cutting boards, knives and serving platters. Add tablecloths so the buffet and reception tables are ready without a last-minute shopping trip.
  • Test the portable speaker, microphone, extension cords and power strips before participants arrive. Charge power banks and keep flashlights or LED lanterns available if the walk or setup continues after daylight.
