Tips
- Confirm the venue and performance times before publishing anything. Allow at least 2–3 weeks between confirming the booking and opening ticket sales so you can finish the layout, technical plan and audience information.
- Build the rehearsal schedule around the full cast and crew, then send it in one clear document. Include call times, technical rehearsals and the deadline for reporting absences or access needs.
- Prepare the technical plan before the final rehearsal. Check spotlights, light stands, the lightboard, mixer, speakers, microphones, extension cords and power strips, and secure loose cables with cable trays or gaffer tape.
- Open registrations early enough to measure attendance, then collect dietary requirements no later than 7 days before any catering is ordered. Use the final registration count to check chairs, glasses and catering quantities.
- Do a complete pre-show walk-through 24 hours before opening. Check costumes, decor, labelled props, programme booklets, name badges, directional signs, USB sticks and the entrance table instead of leaving them for the first audience arrival.
