Student flea market checklist: what to arrange and when

A student flea market needs more than tables and sellers. You need to confirm the venue and permit first, then open registration, assign spaces and prepare payments, signage and equipment. The final week is when forgotten details cause delays: vendor numbers, price labels, extension cords, lighting and enough change at the cash desk. Use this checklist to work through the market in order, from the first booking to the last clean-up task.

Tips

  • Secure the venue and check the market permit before publishing the date. Allow at least 4–6 weeks for approval or changes, especially if the event uses outdoor space.
  • Close seller registration early enough to draw the floor plan. Send each seller a confirmed space number and payment details at least 7 days before the market.
  • Plan the setup around the furniture you actually have: tables, clothing racks, chairs and a cash desk table. Mark walkways and keep a clear route to exits before sellers arrive.
  • Prepare the cash desk before opening, including a cash box, calculators and enough change. Put vendor numbers and price labels in separate bundles so sellers can set up without searching.
  • Test power and lighting before the doors open. Check extension cords, power strips, coffee machines, kettles, LED lamps and battery lanterns at least 2 hours before trading starts, then place waste bins and cleaning supplies where they are easy to reach.

Frequently asked questions

How far in advance should I organise a student flea market?
Start 4–6 weeks ahead. Book the venue and check the permit first, then allow time for seller registration, payment confirmations, the floor plan and volunteer scheduling.
When should student flea market registration close?
Close registration about 7 days before the event. That gives you time to process applications, confirm reservations, assign vendor numbers and send seller information.
How many tables and clothing racks do I need for a student flea market?
Base the count on the confirmed vendor list and the space plan, not on estimated attendance. Assign each seller a defined area, then reserve extra furniture for the cash desk, refreshments and at least one clear access route.
When should I set up a student flea market?
Start setup at least 2 hours before opening. Put out tables, racks and chairs first, then install signs and lighting, test power, chill drinks and place price labels and vendor numbers.
