Tips

  • Plan roughly two to three drinks per person for the first hour, then one drink per person per hour. Keep chilled drinks in several coolers so guests are not queuing at one point.
  • Count one reusable plate, bowl, drinking glass, fork, knife and spoon per guest, then add 10% extra. Serving spoons and spare napkins are easy to overlook when buying tableware.
  • Allow about 60 centimetres of table space per seated guest. Check the final guest list before confirming foldable tables, beer tables, chairs and buffet tables.
  • For an outdoor barbecue, match the gas supply to the barbecue and keep at least one spare gas cylinder available. Buy fuel before the event rather than relying on a last-minute shop run.
  • Set aside weather protection before decorating: party tents, tablecloths and a changing-room screen may be needed even on a dry day. Keep bunting, balloons and chalk ready for setup rather than mixing them into the food boxes.
