- Close registrations early enough to create a final participant list and pass dietary requirements to the caterer. Aim to do this at least 3–5 working days before the meeting.
- Check every presentation on the actual laptop and projector before participants arrive. Allow 30 minutes for testing the HDMI connection, slides, microphone and speakers.
- Set up the room at least 60–90 minutes before the start time. This gives you time to arrange meeting tables and chairs, position the registration desk, and fix missing equipment.
- Prepare the coffee station before registration opens, but keep hot drinks in kettles or urns until needed. Chill drinks and put out water glasses so the first break does not become a queue.
- Assign the note taker before the meeting and give them the agenda and participant list. Also check that name badges, flip charts, power strips and extension cords are in the room before setup begins.
