Sports networking event checklist: what to arrange and when

A sports networking event needs more than a good mix of activities and guests. You need a clear registration process, balanced sport groups, suitable catering and a setup that works for both conversations and movement. Use this checklist to work backwards from the event day: secure the venue and sports leaders first, then confirm participant details, print materials and prepare equipment. Leave the final day for weather checks, cooling drinks, charging technology and setting up the welcome desk.

Tips

  • Close registrations at least 7 days before the event if you need to create sport groups and collect dietary requirements. Send confirmations after checking contact details, preferred sports and any food restrictions.
  • Build the programme around short activity blocks with a clear changeover time. Allow at least 10 minutes between sports so groups can move, collect equipment and return for networking.
  • Prepare badges, printed programmes, directions and the event run sheet no later than the day before. Keep a spare set of blank badges and printed copies at the registration desk.
  • Count sports equipment by group, not just by activity. Check balls, bibs, cones, marker discs and start or finish ribbons before loading them, and keep a small reserve for damaged or missing items.
  • Plan the venue in two zones: an active area and a conversation or catering area. Set up tables, chairs, high tables, coat racks and power access before guests arrive, then test the speakers and wireless microphones.

Frequently asked questions

How far in advance should I organise a sports networking event?
Reserve the venue, sports instructors and catering at least 6 to 8 weeks ahead. Aim to open registration 3 to 4 weeks before the event and close it about 7 days beforehand so you can finalise groups and dietary requirements.
How many sports should a networking event include?
For a half-day event, plan 2 or 3 sports activities rather than trying to fit in everything. Keep each activity to roughly 30 to 45 minutes, with at least 10 minutes for changing groups and equipment.
When should I prepare the participant badges and programme?
Prepare the badges and programme 1 to 2 days before the event, once registrations and sport groups are confirmed. Print 5 to 10 extra programmes and keep blank badges available for late corrections.
What should I check on the morning of a sports networking event?
Check the weather, sports equipment, catering, cooled drinks and the registration desk 2 to 3 hours before guests arrive. Allow at least 30 minutes to test the laptop, speakers, wireless microphones and power connections.
