- Plan at least one clearly marked team bib per participant, plus 10% extra for late changes, lost items or volunteers who need identifying.
- For a half-day sports day, allow roughly 1 litre of drinking water per person and 2β3 drinks during the first hour if the weather is warm. Chill drinks before setup, not when registration begins.
- Match equipment to the programme rather than buying one item per participant. For relay races, prepare one baton per active lane; for ball games, keep at least one spare ball for each sport in use.
- Set up one registration desk, one scorekeeping area and at least one waste bin near every main activity or food point. Put tables and chairs in place 30β45 minutes before participants arrive.
- Prepare weather protection for the full group: party tents or other shelter, rubber mats for wet ground and enough cones to mark safe boundaries. Check the forecast again 24 hours before the event.
