Sports day checklist: what to arrange and when

- Book the main venue and an indoor backup before sending invitations. Confirm access times, field markings, power points and whether tables, chairs or tents can be used on site.
- Set a registration deadline at least 7 days before the event. Use the final participant list to build balanced teams, collect dietary requirements and print enough team cards and match schedules.
- Prepare one equipment check per activity, not just one general pile. Count balls, rackets, frisbees, relay batons, cones, bibs, stopwatches, whistles and scoreboards before leaving for the venue.
- Create a timed schedule with changeover gaps of 5 to 10 minutes. Print the schedule, rules and participant list, then keep spare copies at the reception table and with the person using the megaphone.
- Start setup at least 2 hours before the first match. Put out tables, chairs, buffet equipment and waste bins, then test the speaker, extension cords and power strips before the crowd arrives.
