  • Set a registration deadline at least 7 days before camp so you have time to confirm the final participant list, dietary requirements, permissions, and team assignments.
  • Build the sports schedule with transition time between activities. Allow at least 10 minutes to move groups between football, basketball, volleyball, and other stations.
  • Check all equipment 1–2 days before the camp, including balls, cones, ladders, nets, whistles, stopwatches, vests, and mini goals. Pack spare batteries and test the portable speaker and microphone before loading the vehicle.
  • Prepare the registration desk, printed participant information, team ribbons, and safety briefing materials the day before. On arrival, keep one organiser at registration while another checks the fields, tables, chairs, tent, and sound equipment.
