Sponsored run checklist: what to arrange and when
A sponsored run needs more than a route and a sign-up form. You must allow time for permits, traffic measures, sponsor contributions, volunteer roles and participant details before race day. The final week is when small omissions become visible: missing race numbers, unlabelled sponsor materials, unchilled drinks or route signs that cannot be secured. Use this checklist to work backwards from the run, then confirm every handover before participants arrive.

Tips
- Record the date and route first, then inspect the route on site before applying for traffic measures. Check crossings, narrow sections and places where route arrows or barrier tape need extra support.
- Send sponsorship packages and invitations early enough to process registrations and record contributions before printing race numbers. Keep dietary requirements with the participant list so food and drink quantities are not guessed at the last minute.
- Assign volunteers to specific traffic posts, the bib number desk, route support and the finish area. Give each team a reflective vest, clear instructions and a way to contact the organiser, such as a walkie-talkie or megaphone.
- Prepare race numbers, safety pins, medal ribbons and sponsor logos before bringing materials to the venue. Pack these separately from refreshments so the registration desk can be set up without opening every box.
- On race day, mark out the route before setting up the start and finish area. Put out tables, tents, waste bins, water cups and coolers early, and test speakers, microphones, extension cords and rechargeable lamps before participants arrive.
Frequently asked questions
- How far in advance should I organise a sponsored run?
- Start at least 8 to 12 weeks before the run. This gives you time to record the route, arrange permits and notifications, apply for traffic measures, recruit volunteers and process registrations.
- When should I apply for traffic measures for a sponsored run?
- Apply as soon as the route and date are fixed, preferably 6 to 8 weeks beforehand. Requirements vary by area, and changes to crossings or road closures can take longer than expected.
- How many volunteers do I need for a sponsored run?
- Plan one volunteer for each traffic post, plus separate people for registration, route support and the finish area. Confirm the final number after inspecting the route and counting every point that needs supervision.
- When should I prepare race numbers and sponsor materials?
- Prepare them during the final week, once registrations and sponsor contributions are checked. Keep one complete set ready at least one day before the run, including bib numbers, safety pins, medal ribbons and printed logos.
