  • Confirm the route before opening registration. Check permits, insurance and any traffic-control requirements, then publish the route map so participants and volunteers know the course in advance.
  • Set the sponsorship goal before creating sponsor packages. Record sponsor amounts as they arrive and keep the participant list separate from the donation records so both can be checked quickly.
  • Assign volunteers to specific jobs and locations, not just to a general shift. Traffic posts, registration, first aid, course marking and the finish area all need named people and clear reporting times.
  • Order bib numbers and prepare safety pins, route arrows, cones, barrier tape and safety vests before event week. Sort bibs in participant order and keep spare pens and clipboards at the registration desk.
  • Complete the shopping and material check before race day. Chill drinks, collect the tents, tables and chairs, test the microphone and speakers, and charge stopwatches, power banks and lamps at least one day beforehand.
