  • Confirm the room layout at least one week before the training. Check that every participant has a chair, that tables can support written exercises, and that the presentation screen is visible from the back row.
  • Set a registration deadline 5–7 days before the session. Use the final participant list to prepare name badges, certificates, worksheets and a clear overview of dietary requirements.
  • Test the laptop, projector, HDMI cable, microphone and speaker in the actual room on the day before training. Bring extension cords and power strips rather than assuming the room has enough accessible sockets.
  • Prepare exercises and worksheets before shopping or setting up the room. Print enough copies for every registered participant, plus at least 2–3 spare sets for late additions or damaged pages.
  • Plan refreshments around the schedule, not just the headcount. Have coffee and tea ready when participants arrive, chill drinks in advance, and prepare the lunch buffet before the training room becomes busy.
