Speaking workshop checklist: plan it in the right order

A speaking workshop needs more than a trainer and a room. You need time for registration, participant details, presentation equipment, printed worksheets and a practical setup for exercises. Start with the venue, trainer and program, then move to invitations and catering. On the day, allow enough time to test the laptop, projector, microphone and adapters before participants arrive. This checklist keeps the preparation sequence clear, from the first booking to the opening exercise.

Tips

  • Book the venue and trainer before sending invitations. Confirm the room layout, presentation area, tables and chairs at least 2–3 weeks ahead so you can still change the setup.
  • Send the registration request with a clear deadline, then collect dietary requirements before ordering catering. A reminder 3–5 days before the workshop catches late cancellations and missing details.
  • Test the full presentation setup at least 60 minutes before arrival. Connect the laptop, projector, screen, HDMI cable, adapter kit, speaker and wireless microphone rather than checking each item separately.
  • Print worksheets and prepare name badges no later than the day before. Put notepads, ballpoint pens, markers and flip-chart materials where participants will use them during the exercises.
  • Set up the coffee station and reception desk before opening the room. Chill drinks, arrange cups and water glasses, and leave at least 20–30 minutes for registration before the workshop starts.

Frequently asked questions

How far in advance should I plan a speaking workshop?
Start booking the venue and trainer at least 3–6 weeks before the workshop. Send invitations once the program, location and registration process are confirmed, leaving a final week for participant numbers and dietary requirements.
How long before a speaking workshop should I arrive?
Arrive at least 90 minutes before the published start time when you need to set up tables, chairs, presentation equipment, coffee and registration. Reserve the final 30 minutes for testing the presentation and welcoming early participants.
What equipment do I need for a speaking workshop presentation?
Plan for a laptop, projector, projection screen, HDMI cable, HDMI adapter kit, power strips and extension cords. If participants need to hear or address the whole room, also test the portable speaker and wireless microphone before the workshop begins.
When should I send a reminder for a speaking workshop?
Send the main reminder 3–5 days before the workshop, including the start time, arrival instructions and anything participants should bring. Confirm the final catering count after the reminder deadline, ideally 24–48 hours before the event.
