Soup Competition Checklist

A soup competition needs more than a row of tasting bowls. You need clear rules, registered participants, judges, serving equipment and a setup that keeps each entry identifiable from tasting to scoring. Use this checklist to work backwards from the event: confirm the venue and format first, then handle registrations, supplies and instructions before preparing the room. The final setup includes numbered soup stations, a separate jury table, drinks and buffet service, signage and waste points.

Tips

  • Set the rules before inviting contestants. Decide how soups will be judged, how many categories you need and whether entries are served hot, then send those details with the invitation.
  • Close registrations early enough to process names and dietary requirements. Allow at least 7 days before the competition to confirm the participant list, competition numbers and any allergen information.
  • Plan power and heat station by station. Count one induction hob, warm-holding pan and suitable extension setup for each hot soup station, and check the venue’s available power before event day.
  • Keep judging separate from serving. Print one jury form per judge and prepare a clearly marked jury table with pens, tasting bowls and the agreed evaluation criteria before participants arrive.
  • Build in a final 60-minute setup window. Use it to arrange tables and chairs, place signs and arrows, chill drinks, check tableware, assign soup numbers and test every heated station.

Frequently asked questions

How far in advance should I plan a soup competition?
Confirm the venue, date and competition rules at least 4 weeks ahead. Open registration soon after, and finish participant details and dietary requirements at least 7 days before the event.
How many judges do I need for a soup competition?
Use at least 3 judges so one individual opinion does not decide the result. Confirm them before sending the final participant instructions, preferably 2 to 3 weeks in advance.
How much soup should each contestant prepare?
Set a serving quantity in the rules based on your expected tasting portions and number of judges. For a small tasting event, planning 150 to 200 ml per person per entry gives a practical starting point, but contestants should receive the same requirement.
How long does it take to set up a soup competition?
Allow at least 60 minutes for the room setup, plus extra time if many hot soup stations need testing. Put tables, chairs and signs in place first, then arrange numbered stations, the jury table, buffet and drinks service.
