What you need for a Six-Day Event

A Six-Day Event needs more than race equipment. You will also need registration furniture, clear signage, reliable sound and power, catering equipment, and supplies for six days of participants and staff. Use the quantities in your plan to work out how many bib numbers, drinks, snacks and printed documents are needed. Check dietary requirements before ordering food, and test every cable, microphone and stopwatch before the first race.

Tips

  • Prepare bib numbers, accreditation materials and printed race rules at least 2 days before opening registration. Keep a spare set of numbers and fastening materials at the reception desk.
  • For a six-day programme, plan drinks and snacks per person per day rather than buying for the whole event at once. Keep at least one full day’s supply chilled and ready before each morning briefing.
  • Pack one complete track-repair kit before setup: bike pumps, spare inner tubes, a tool case, cones, ribbons and barriers. Check it again after every race day so missing items are replaced before the next session.
  • Test the sound system, microphones, mixing desk, extension cords and power strips at least 2 hours before the first briefing. Cover cables crossing walkways with cable mats, and keep spare batteries or connectors with the equipment.
  • Confirm tables, chairs, bar stools, the reception desk, jury table and stage before the venue opens. Food warmers, coffee machines, kettles and coolers are easy to overlook when furniture and race equipment arrive first.

Frequently asked questions

What equipment do I need for a Six-Day Event?
You need race equipment such as bib numbers, stopwatches, lap counters, signs, cones, barriers, pumps and spare inner tubes. You also need sound equipment, power supplies, furniture, catering equipment and materials for registration and accreditation.
How much food and drink should I buy for a six-day event?
Calculate food and drinks by person per day, then add a reserve of about 10% for staff, late registrations and unexpected demand. Confirm dietary requirements before placing the catering order, ideally at least 7 days before the event.
When should I buy or prepare the race materials?
Prepare bib numbers, race rules, accreditation materials and signage at least 2 days before the first race. Check bicycles, pumps, tools, stopwatches and lap counters during setup and test them again before each competition day.
How early should I check the sound and power equipment?
Test speakers, microphones, the mixing desk, extension cords, power strips and cable mats at least 2 hours before the venue opens to participants. Leave enough time to reroute cables or replace faulty equipment before the briefing.
