Security Fair Checklist: What to Arrange and When

A security fair needs more than exhibitor tables and visitor invitations. You need a confirmed venue, a workable floor plan, reliable registration, safe demonstrations and clear instructions for everyone on site. Start by fixing the date and opening hours, then build the exhibitor list and assign pitch locations before sending invitations. In the final week, test technical connections, print badges and route signs, and check emergency exits before visitors arrive.

Tips

  • Set the date, opening hours and venue first. Allow at least 6–8 weeks before opening day so exhibitors can confirm, visitors can register and catering can be ordered without rushing.
  • Finish the floor plan before assigning pitches. Leave clear routes between trade fair tables, display walls and demonstrations, and mark the registration desk, emergency exits and visitor flow on the map.
  • Close visitor registration and dietary requirements at least 5 working days before the fair. Print the registration list, badges and wristbands only after checking names, access types and exhibitor details.
  • Treat demonstrations as a safety task, not just a programme item. Inventory every demonstration, confirm its technical connection and write security instructions and house rules before the event team briefing.
  • Test the full setup on the day before opening. Check the projector, screen, speakers, laptops, Wi-Fi, barcode scanners, charging stations and extension cords, then use walkie-talkies to coordinate registration and floor staff.

Frequently asked questions

How far in advance should I plan a security fair?
Start planning 6–8 weeks before the event. That gives you time to reserve the venue, confirm exhibitors, publish registration, arrange catering and complete safety checks.
When should security fair exhibitor invitations be sent?
Send invitations as soon as the date, venue and basic floor plan are confirmed, preferably 6 weeks before opening. Give exhibitors a clear deadline for accepting their pitch and submitting technical or demonstration requirements.
When should visitor registration close for a security fair?
Close registration about 5 working days before the fair if you need printed badges and a final registration list. Keep a small process for late arrivals at the registration desk, using the laptop or printer on site.
How early should I check security fair demonstrations and equipment?
Check demonstration safety and technical connections at least 1 day before visitors arrive. Test power strips, extension cords, HDMI cables, projection equipment, speakers and Wi-Fi, and brief the team before opening.
