  • Confirm the route before opening registration. Check it on site, measure each distance, mark hazards and allow enough time for any route permit or traffic-management application.
  • Set participant categories and distances before creating the registration form. Collect permissions and dietary requirements at registration rather than trying to chase missing information a few days before the event.
  • Plan volunteer cover for registration, route points, traffic control, the start, the finish and first aid. Brief traffic controllers and the first aid team separately, with their positions and contact numbers.
  • Prepare race-day paperwork at least 2 days beforehand. Print starting lists, sort bib numbers and bands, and place clipboards, pens and stopwatches where each team will use them.
  • Check the forecast and the power plan the day before. Test the speakers, microphone, mixer, laptop and printer, and charge phones and power banks so registration and announcements do not depend on one outlet.

How far in advance should I organise a school run?
