Tips

  • Count playing stations, not registered players: each simultaneous game needs one chess board, one complete set of pieces, one chess clock and writing materials. Bring at least 10% spare pieces and two spare score pads per playing station.
  • Prepare one pen and one score pad for every player in a game, then add 10% extra. Clipboards are useful when tables are crowded or players must record moves away from the main desk.
  • Set aside a separate reception desk with a laptop, printer, power strip and extension cord. Pack spare printer paper, power banks and printed competition cards so registration does not depend on one working device.
  • For a four-hour tournament, plan roughly 1 litre of water per participant and helper, with extra drinking glasses. Coffee and tea need separate cups, teaspoons, serving spoons, kettles or coffee machines, and thermos flasks.
  • Pack prizes, name badges and competition cards in labelled envelopes before leaving. A small repair box with spare chess pieces, clock batteries and other spare parts prevents one missing item from stopping a game.
