What you need for a Safety Day
A Safety Day needs more than demonstration equipment. You also need a clear way to control movement, communicate instructions and keep participants comfortable while activities run. Plan tables, chairs and shelter around the registration and demonstration areas, then add first-aid and protective equipment for each activity. Check power, chilled storage and waste collection before shopping. This list supports a day with registrations, quizzes, safety demonstrations and practical cycling or traffic activities.

Tips
- Plan one registration table, two chairs and a waste bin for every busy entrance or check-in point. Keep printed emergency numbers and contact details at the same table, rather than storing them in a separate office.
- Allow at least one communication device for each active coordination area, plus one spare. Charge the walkie-talkies and megaphone the day before, and test the sound system and microphones before participants arrive.
- Match protective equipment to the activity, not to the total guest count. Keep safety vests, work gloves, helmets, earplugs and first-aid kits at the relevant activity station so volunteers can hand them out immediately.
- Buy or bring extra power accessories for every powered station: use extension cords and power strips only after checking the available supply. Tape or cover cable runs and keep them outside evacuation routes.
- Keep chilled food and drinks refrigerated until serving, and separate them from demonstration materials. Put out waste bins before opening and place at least one near registration, refreshments and each main activity area.
Frequently asked questions
- What equipment do I need for a Safety Day?
- Plan the equipment around registration, demonstrations and communication: tables, chairs, tents, a sound system, microphones, a laptop, tablets, a projector and screen. Add walkie-talkies, a megaphone, lighting and power accessories, and test everything at least one day before the event.
- How many first-aid kits should I buy for a Safety Day?
- Use at least one clearly marked first-aid kit for each separate activity zone, with one additional kit at registration or the coordination point. Check contents 24 hours before opening and place the kits where volunteers can reach them within a few minutes.
- What safety equipment is needed for cycling and traffic activities?
- Provide bike helmets, bike pumps, traffic cones, traffic lights, safety vests and work gloves where those activities take place. Keep spare helmets and gloves available, and inspect the equipment on the morning of the event before participants use it.
- How much seating and shelter do I need for a Safety Day?
- Provide one chair for each seated volunteer or participant expected at the same time, plus tables for registration, materials and refreshments. Size party tents for the registration and waiting areas first, and confirm their placement at least one week before the event.
