Running race shopping list
A running race needs more than a start line and finish arch. Tips
- Plan at least one water point for every 5 kilometres, with roughly 150β250 ml per runner at each point. Add extra water for volunteers and runners who remain at the finish.
- Order one bib number and one bib strap per participant, plus 5β10% spares for damaged, lost or last-minute replacements. Keep pens, clipboards and markers at registration and the finish.
- Use kilometre markers and route arrows at every turn, junction and confusing section. Prepare at least two spare signs for each type so a missing or damaged marker does not leave runners off course.
- Allow one reusable or disposable cup per serving, then add at least 20% extra for the water stations and finish area. Place coolers or water crates where volunteers can refill without crossing the running route.
- Test the sound system, wireless microphones, speakers and extension cords before setup day. Keep walkie-talkies charged and assign one radio to each course or volunteer team that must respond quickly.

- How many cups do I need for a running race?
- Allow one cup for every planned serving, plus at least 20% extra. For 100 runners served twice at the course and once at the finish, prepare about 360 cups.
- How many race bibs should I order?
- Order one bib number and one strap per registered runner, with 5β10% spares. For 200 runners, that means 210β220 bibs and straps.
- How much water do I need for a running race?
- For a water station, estimate 150β250 ml per runner per serving, then add water for volunteers and a reserve of about 20%. Hot weather can raise the amount significantly, so recheck the forecast before buying.
- When should I buy running race equipment?
- Order printed bibs, medals, route signs and kilometre markers at least 3β4 weeks before race day. Arrange tents, barriers, timing equipment, toilets and radios at least 2 weeks ahead so shortages can still be fixed.
