Running race checklist: what to arrange and when

A running race needs more than a route and a start time. You must secure the venue, permits, traffic measures, timing and first-aid cover before registrations open. In the final weeks, participant details, volunteer shifts, race numbers, medals and water stations need checking together. Use this checklist to keep the planning sequence clear, from choosing the competition format to sorting bibs and preparing the start and finish area.

Tips

  • Apply for the race permit and traffic measures before publishing registration, because road closures and route approval can determine the date, course and maximum field size.
  • Create the route map early and mark every kilometre with route arrows, cones or barrier tape. Walk or cycle the full course at least once before race day to find unclear turns and access points.
  • Confirm volunteer numbers by station, not just as one total. Water stations, course crossings, registration, the finish area and first aid all need named cover and a way to communicate during the race.
  • Order bib numbers and medals only after checking the registration list and cutoff date. Sort race numbers alphabetically before setup so participants are not searching through one mixed stack.
  • Test the timing system, laptop, tablets, phones, walkie-talkies and PA system together at least one day beforehand. Also check extension cords, power strips and power banks so a missing connection does not stop registration or results.

Frequently asked questions

How far in advance should I organise a running race?
Start planning at least 12 to 16 weeks before race day. Secure the location, permit, traffic measures, timing and first-aid cover before opening registration; route and volunteer details can then be finalised in the following weeks.
When should running race registration close?
Close registration 7 to 14 days before the race if you need time to check participant details, collect dietary requirements, order bibs and medals, and prepare the start list. Set an earlier cutoff if personalised race numbers or shirts are involved.
How many volunteers do I need for a running race?
Count volunteers by duty rather than using one fixed ratio. Assign separate people to registration, each water station, course crossings, the start and finish area, results and first aid, then add at least 10% cover for cancellations.
What should I prepare for a running race water station?
Prepare one staffed table at each planned station, plus cups, water, waste collection and a clear access route. Confirm the number of runners 7 to 10 days beforehand and prepare extra supplies for weather or slower participants.
