Running race checklist: what to arrange and when
A running race needs more than a marked route and a finish line. You need to arrange permits, traffic control, timing, first aid, toilets, volunteers, participant data and clear race-day communication. Start with the course and safety plan, then open registration once the key locations and services are confirmed. In the final week, check the forecast, brief every volunteer and prepare the signs, bibs, water and timing equipment so setup is not rushed.

Tips
- Begin with the course, start and finish locations, and the traffic plan. Allow at least 8β12 weeks for municipal registration and permits, especially if roads need to be closed or traffic controllers are required.
- Confirm safety and participant services before promoting the race. A first aid team, toilet facilities, water supply and a working time-registration system are easy to overlook and difficult to arrange at short notice.
- Close registration early enough to check every participant detail. Set a clear deadline at least 5β7 days before the race for corrections, dietary requirements and final participant information.
- Brief volunteers with exact posts, shift times and emergency instructions. Give route marshals walkie-talkies or another reliable communication method, and make sure the start, finish and crossings are covered before runners arrive.
- Prepare race-day equipment in labelled groups: bib numbers and straps, route arrows and kilometre markers, barriers and cones, medals, tables, power supplies and timing materials. Walk the entire course once before the start to check that every sign is visible.
Frequently asked questions
- How far in advance should I organise a running race?
- Start planning at least 8β12 weeks before race day. Begin even earlier if the route uses public roads, because permits, traffic plans and road closures may require several weeks of review.
- When should registration close for a running race?
- Close registration 5β7 days before the race if you need time to check participant details, prepare bib numbers and send final instructions. Keep a short correction window for name or distance changes.
- How many volunteers do I need for a running race?
- Plan one volunteer for each course crossing or marshal point, plus separate people for registration, the start and finish, water, first aid support and setup. For a small race, confirm the full rota at least 2 weeks beforehand.
- What should I check the week before a running race?
- Check the weather forecast, route signage, barriers, cones, timing system, water crates, toilets, first aid cover, bibs and medals. Send participant information no later than 3β5 days before the start and brief volunteers before race morning.
