What You Need for a Running Festival

A running festival needs more than bib numbers and medals. You will need clear route marking, equipment for the start and finish areas, supplies for volunteers, and a reliable setup for water, luggage and participant information. Use this shopping list to check what must be bought, borrowed or collected before race day. Plan quantities around your number of runners, volunteers and course stations, then confirm stock at least one week before the event.

Tips

  • Prepare one bib number, race bib strap and at least four safety pins per runner. Pack bibs in number order so registration does not become a last-minute sorting job.
  • Allow one route arrow or sign at every turn, junction and decision point, plus spare signs for damaged or missing markers. Pre-sort them by kilometre or route section before loading the car.
  • Set out at least one waste bin at registration, the start, the finish and each refreshment point. Empty them before they overflow, especially if runners are carrying disposable cups.
  • Give every volunteer a reflective vest and a clipboard or whistle where their role requires it. Pack a few spare vests, pens and printed route maps rather than relying on volunteers to bring their own.
  • Check the quantity of sports cups, medals and luggage tags against the final registration list three to five days before the festival. Keep a small reserve for late entries, damaged items and timing mistakes.

Frequently asked questions

What supplies do I need for a running festival?
You need race bibs and straps, safety pins, route arrows, kilometre markers, cones or barriers, medals, sports cups, stopwatches, clipboards, whistles and reflective vests. The full list should also cover start and finish structures, luggage storage, waste bins and sound equipment.
How many safety pins do I need per runner?
Plan four safety pins per runner, so 400 pins for 100 participants. Buy or pack at least 10% extra because pins are easily lost during registration and setup.
When should I buy supplies for a running festival?
Order personalised items such as engraved medals and bib numbers several weeks before race day, according to supplier lead times. Check all stock at least one week ahead and do the final quantity check three to five days before the event.
How many route signs do I need for a running event?
Count every turn, junction, split and unclear section on the route, then add at least 10% spare signs. Mark kilometre points separately and prepare extra arrows in case weather or traffic-control changes require a diversion.
