Tips

  • Prepare one rugby ball for each active pitch, plus at least two spare balls for the tournament. Check that every pitch also has cones, marker cones, field flags and working goalposts before teams arrive.
  • Set up the registration desk with clipboards, printed schedules, team information and working pens. Put it in place at least 60 minutes before the first match so late registrations do not delay kick-off.
  • Give each team a distinct set of bibs or shirts and prepare at least one spare set. Spare shoelaces are easy to overlook and can prevent a player from missing a match because of a broken lace.
  • Test the timing and scoring equipment before the first game: one stopwatch, whistle and scoreboard or game clock per active pitch. Keep spare batteries or charged replacements available if the equipment requires them.
  • Count cups and plates against the expected number of players, officials and volunteers, not just registered teams. Set up reusable cups near catering and bring tents, tables and chairs early enough to create shade and a dry registration area.

Frequently asked questions

How many rugby balls do I need for a tournament?
Plan for at least one match ball per active pitch and two spare balls for the whole tournament. For example, three simultaneous pitches require five balls as a practical minimum.
What equipment is needed for rugby tournament registration?
Set up one registration desk with at least one clipboard and printed team information for every participating team. Have the desk ready 60 minutes before the first match, with spare copies of the schedule available.
How many team bibs or shirts should I buy?
Provide one identifiable set for every team and keep one complete spare set on hand. Confirm the final team count before ordering, because late registrations can change the required quantity.
When should I test the sound system and walkie-talkies?
Test the sound system, wireless microphones and rechargeable walkie-talkies at least 24 hours before the tournament. Recheck them on the morning of the event and charge power banks before volunteers arrive.
