Reptile Fair Shopping List

A reptile fair needs more than exhibitor tables and refreshments. You also need reliable power distribution, temperature-checking equipment, queue control, payment supplies and clearly marked safety equipment. Use this shopping list alongside your floor plan and exhibitor numbers, then check stock before shopping. Order catering and disposable or reusable service items early, because cups, coffee supplies, extension equipment and first-aid materials are often forgotten until the venue opens.

Tips

  • Plan at least one reusable cup per guest if you have washing facilities, or 2 cups per person for a single-service event. Add 10% extra coffee cups, plates and cutlery so a busy first hour does not stop service.
  • For every powered area, count the appliances before buying extension cords and power strips. Keep at least 2 spare extension cords and 1 cable reel available, and cover every cable crossing with cable trays.
  • Provide one thermo-hygrometer for each animal display zone and keep at least 1 infrared thermometer at the registration or welfare desk. Test them 24 hours before opening and bring spare batteries.
  • Set aside 1 waste bin for every 25 to 40 visitors expected at a time, with extra bins beside catering tables. Put barrier tape, flashlights and first aid kits where staff can reach them within 1 minute.
  • Prepare payment supplies for both exhibitors and the entrance desk: allow 1 payment terminal per busy sales point and 1 cash box per staffed cash point. Charge terminals overnight and keep a written contact list with the equipment.

Frequently asked questions

What food and drinks do I need for a reptile fair?
For the first hour, allow 2 to 3 drinks per person, then about 1 drink per person per additional hour. Buy shelf-stable food at least 3 days ahead and chill drinks no later than the evening before the fair.
How many tables and chairs do I need for a reptile fair?
Count one exhibitor table for each confirmed exhibitor, then add at least 2 spare tables for registration, information or welfare checks. Plan roughly 1 chair per staffed table and confirm the final count 7 days before the event.
How early should I buy supplies for a reptile fair?
Order catering, cups, plates, cutlery and serving equipment 7 to 14 days before the fair. Buy safety and power supplies at least 1 week ahead so you have time to test cables, terminals and temperature equipment.
What safety equipment is needed at a reptile fair?
Keep at least 1 first aid kit and 1 fire extinguisher in each main public or exhibitor area, subject to the venue plan and local requirements. Place barrier tape, flashlights and cable trays before doors open, and check all safety equipment 24 hours beforehand.
