  • Confirm the venue, permits and insurance before announcing the date. Aim to have these cleared at least 6–8 weeks before the concert, since a missing permit can stop the show at the last minute.
  • Ask every band for a technical rider and stage plot as soon as they are booked. Confirm microphones, DI boxes, amplifiers, drum kit requirements and monitor needs no later than 2 weeks before the show.
  • Build the running order around changeovers, not just set lengths. Allow 15–20 minutes between bands if backline or microphone positions must change, and print copies of the final run sheet.
  • Plan the bar and audience area separately from the stage. Put crowd-control barriers, coat racks, reusable cups and serving equipment in position before doors open, so volunteers are not leaving their posts during the first set.
  • Treat load-in as a timed operation: clear the loading zone, collect equipment and open the venue early enough for stage assembly and soundcheck. Allow at least 2 hours before doors for a small show, and longer if several bands bring their own gear.
