  • Confirm the room booking before sending invitations, then include parking and arrival information with the invitation. Last-minute directions are easy to overlook, especially when the venue has more than one entrance.
  • Ask for dietary requirements when registrations open and review the responses before shopping. Prepare the fruit, cookies, coffee and tea only after you know the expected attendance, so you do not run short or create unnecessary leftovers.
  • Finish the prayer programme, Bible verses, songs and speaker assignments several days before the service. Print the programmes and name badges early enough to correct a missing name or reading without rushing.
  • Plan the room in zones: chairs and the reading and prayer area first, then the reception table and side tables. Check the lectern, coat racks, tables and chairs during the hall inspection rather than discovering a problem when guests arrive.
