- Set the quiz date and reserve the venue before sending invitations. Allow at least two weeks for registrations, dietary requirements and team planning, especially if people are joining in groups.
- Finish the quiz rounds, questions, answer key and scoring sheets several days before the event. Have someone check the questions and answers separately so errors are found before printing.
- Test the laptop, projector, HDMI cable, speakers and microphone at the venue at least one day in advance. Pack extension cords, power strips and spare AA batteries rather than discovering a missing connection during the quiz.
- Prepare one printed participant list, quiz booklet and answer sheet per attendee, plus team cards and pens. Print a few extra copies—around 5% more than your confirmed headcount—for late changes or damaged sheets.
- Cool drinks and set out coffee equipment before doors open, not during registration. Check that tables, chairs, the quiz table, scoreboard, bell and prize tables are in place at least 30 minutes before the first question.
