  • Confirm the date and location before contacting poets or sending invitations. Keep at least 4–6 weeks between the first invitations and the recital so you have time to register sign-ups and follow up.
  • Collect each poet’s text, introduction and technical details no later than 7 days before the recital. Use the final material to compile and print the programme without last-minute edits.
  • Schedule the sound check before guests arrive, not during seating. Test both wireless microphones, microphone stands, speakers, mixer, cables and laptop playback, and keep spare batteries available.
