  • Set the date and reserve the venue before inviting speakers. Check that the room has enough chairs and tables, a reception desk, poster boards, coat racks, and a separate speaker table if the program needs them.
  • Give speakers a firm deadline for presentation titles, abstracts, biographies, and final slide decks. Check every presentation before the event and send a speaker briefing with arrival time, talk length, file format, and room instructions.
  • Ask for dietary requirements when participants register, then pass the final numbers to the caterer before ordering. Plan separate service areas for coffee, water, and food, with enough cups, glasses, plates, cutlery, serving bowls, and platters for each break.
  • Test the complete AV setup in the actual room, not just at your desk. Connect the projector and screen, laptop, HDMI cables, VGA adapter, clicker, microphones, speakers, power strips, and extension cords, then keep a backup connection available.
