Tips

  • Set the registration deadline at least 7 days before the workshop. This gives you time to confirm attendance, collect dietary requirements, prepare name badges, and print the participant list.
  • Check cameras, lenses, flashes, tripods, reflectors, and LED lights at least 2 days beforehand. Fully charge every battery, format memory cards, and keep spare batteries and chargers together rather than discovering gaps during setup.
  • Walk or drive the route between the venue and photo locations before the workshop. Allow 10–15 minutes of extra travel time and identify an indoor alternative if rain or strong wind makes the planned route unsuitable.
  • Prepare one complete materials set for each workstation before participants arrive. Put the relevant camera equipment, handouts, and cables together so teachers can start the practical assignment without distributing items during the session.
  • Finish the room setup at least 60 minutes before the first participant arrives. Set out tables and chairs, test the laptop, projector, screen, speakers, HDMI cables, extension cords, and power strips, then prepare the registration desk and catering area.
