Tips

  • For refreshments, allow 2–3 drinks per visitor during the first hour, plus one extra serving for every 10 expected guests. Buy chilled products no earlier than 1–2 days before the open day and keep them cold until serving.
  • Count one chair per registered visitor and keep 10% extra seating available if space allows. Tables for brochures, demonstrations and refreshments should be set up before visitors arrive, not during the first presentation.
  • Test the laptop, projector, screen, speaker and microphone together at least 24 hours beforehand. Pack extension cords and power strips, and bring one spare cable if the presentation depends on a single connection.
  • For health checks, prepare one blood pressure monitor and one scale for each active measurement station. Add measuring tapes and a clear queue route so visitors do not block the pharmacy counter or workstations.
  • Set out 10% more cups, plates and cutlery than your confirmed guest count, with at least 5 extra serving trays or jugs if several refreshments are offered. Store brochures and demonstration materials in their racks before doors open.
