Tips

  • Allow one chair or clearly usable seat per guest, then add around 10% extra seating if space allows. Blankets and cushions help guests stay comfortable after the temperature drops.
  • For drinks, plan two to three servings per person for the first hour and one serving for each additional hour. Bring reusable drinking cups plus separate coffee cups if you are serving hot drinks.
  • Test the projector, media player, speakers, mixer and film subtitles together at least 24 hours before the event. A laptop and power banks are useful backups, but they do not replace a properly tested power supply.
  • Use cable reels, extension cords, power strips and grounding cable reels rather than loose cables across walking routes. Keep spare batteries with the flashlights and outdoor lights, and place LED lighting before guests arrive.
  • Prepare for damp grass or rain with party tents, tablecloths and a confirmed backup plan. Keep the screen, projector and media player covered until setup is complete, but never cover equipment in a way that blocks ventilation.
