Nutrition lecture checklist: what to arrange and when

A nutrition lecture needs more than a confirmed speaker and a room. You’ll need a clear programme, registration process, dietary information and catering, plus reliable presentation equipment. This checklist takes you from booking the venue to opening the room, with the details that are easy to leave until the last minute. Use it to coordinate invitations, participant materials, refreshments and the speaker’s setup in the right order.

Tips

  • Confirm the speaker before sending invitations, then finalise the programme so the invitation includes the correct start time, duration and session details.
  • Ask for dietary requirements during registration and give the caterer a firm deadline. This prevents last-minute changes to snacks, drinks and serving arrangements.
  • Test the laptop, projector, HDMI cable and microphone before participants arrive. Bring extension cords and power strips, and check that the presentation opens correctly on the equipment you will use.
  • Prepare the final participant list and name badges before opening the room. Set the badges at the registration table in an easy-to-scan order so check-in does not become a queue.
  • Open the room early enough to set tables and chairs, arrange the presentation area, and prepare coffee, tea and snacks. Put out cups, glasses, plates and serving utensils only after the layout has been checked.

Frequently asked questions

How far in advance should I send nutrition lecture invitations?
Send invitations 3 to 4 weeks before the lecture if possible. Set the registration deadline at least 5 business days before the event so you can confirm attendance, dietary requirements and catering quantities.
When should I confirm the nutrition lecture speaker?
Confirm the speaker before drafting or sending invitations, ideally 4 to 6 weeks ahead. Ask for the final presentation and technical requirements no later than 3 days before the lecture.
How early should I arrive to set up a nutrition lecture?
Allow at least 90 minutes before participants arrive. Use that time to arrange the furniture, connect and test the projector and microphone, set up registration, and prepare coffee, tea and snacks.
How much catering do I need for a nutrition lecture?
Base the order on the final participant list and add around 5 to 10 percent for late changes. For a short lecture, plan one snack portion and 2 to 3 drinks per person during the first hour, then adjust for the programme length.
