What to buy for a New Year bike ride

A New Year bike ride needs more than bikes and warm clothes. This shopping list covers the practical supplies for a dark winter route, a staffed start and finish area, and a hot soup stop. Use your final participant count to calculate food, cups and seating, then add a small reserve for late registrations and damaged equipment. Check power access and daylight conditions several days before the ride so you can replace missing lights, cables or batteries in time.

Tips

  • Plan around two reusable cups, one soup bowl, one plate and one cutlery set per participant, then add 10% extra. Soup, toppings and hot drinks are easy to underestimate when riders arrive cold and hungry.
  • Allow one thermos flask or equivalent hot-drink capacity for every 10 to 15 riders at a rest stop. For soup, prepare about 400–500 ml per person and keep toppings in separate serving platters.
  • Prepare one reflective vest for each volunteer working along the route, plus at least one traffic cone at every point where riders need to slow down or change direction. Put route arrows out before registration starts.
  • Pack one bike repair kit and one pump for every 15–20 riders, with at least one spare inner tube for each common wheel size in your group. Bring spare bike lights because darkness and low temperatures expose weak batteries quickly.
  • Count power banks, extension cords and power strips before setting up the start area. Battery lanterns and LED string lights should cover the registration, catering and equipment zones even if mains power is unavailable.

Frequently asked questions

How much soup do I need for a New Year bike ride?
Plan 400–500 ml of soup per rider if it is served as the main warm food at the stop. For 30 riders, that means 12–15 litres, plus extra toppings and serving spoons.
How many cups and bowls should I buy for a bike ride?
Use one soup bowl and two reusable cups per participant, then add 10% spare stock. For 40 riders, prepare at least 44 bowls and 88 cups.
How many bike repair kits do I need for a group ride?
Take one complete bike repair kit and one pump for every 15–20 riders. A group of 40 should carry at least two repair kits and two pumps, with spare inner tubes for the bikes represented.
When should I check lights and route equipment?
Check all lights, power banks, extension cords, route arrows and reflective vests at least 3 days before the ride. Do a final battery and equipment check on the morning of the event.
