  • Set the date, programme and venue before sending invitations. Check permits and confirm the room can accommodate the expected audience, registration table, seating plan, buffet tables and presentation equipment.
  • Contact veterans’ organizations and speakers early, then collect speeches and music before the technical test. Allow at least one separate run-through for wireless microphones, speakers, the mixer, laptop, projector and extension leads.
  • Close registrations with enough time to order catering and record dietary requirements. A final guest count also determines how many programmes, name badges, chairs, place settings and drinks you need.
